A booking confirmation can be delivered in writing to When making a reservation at Hotel Punkaharju, we ask you to provide the following information:
• Name of the booker
• email address
• telephone number
• the number of participants
• accommodation, restaurant, activities or custom sauna services
• Date of arrival
• Date of Departure
• the estimated time of arrival
• payment method
The booking will be confirmed via email. All bookings are subject to availability and are not confirmed until written confirmation has been provided. Please provide the list of names, room divisions and detailed program no later than two (2) weeks before the date of arrival with the following information:
• group name and arrival and departure dates
• team leader
• restaurant, activities or custom sauna services
• estimated time of arrival at the hotel and departure time from the hotel
• possible meal times and special diets
The booking is valid for the number of participants indicated by the subscriber. If the number of participants changes significantly, Hotel Punkaharju has the right to assign another space to the booker and to renegotiate the details and costs of the event.
The booking made by the is binding. However, the customer may cancel the booking. Cancellations must always be made in writing to in which case Hotel Punkaharju will charge the cancellation as follows, depending on the the time of cancellation:
• Cancellation free of charge 30 days before the start date of the booking
• Cancellation 29–15 days before the start date of the booking – cancellation costs are 50 % of the value of the booking
• Cancellation 14–0 days before the start date of the booking – cancellation costs are 100 % of the value of the booking
• No-show reservations will be charged as its full amount
• It is possible to make individual booking changes within a group booking 7 days before the arrival date
METHOD OF PAYMENT FOR GROUP SERVICES
We make a joint invoice for the accommodation to the customer. The method of payment is prepayment, cash or post-invoicing for contract customers. In post-invoicing, the invoicing surcharge is 10,00 EUR / invoice.
Bookings cannot be transferred to the name of a third party without the consent of Hotel Punkaharju. If the booking is transferred to a third party with Hotel Punkaharju’s consent, we reserve the right to make changes in price and the booking conditions. For cancellations that have not been made in accordance with the terms, Hotel Punkaharju is entitled to receive compensation for the accommodation price in full for unsold accommodation capacity. If there are changes in the confirmed number of people later than in accordance with the above conditions, the hotel has the right to charge the customer for the costs of the event reduction (e.g. any personnel costs already incurred, lost sales of rooms or program services). If necessary, we will negotiate payment terms and cancellation terms on a case-by-case basis.
For compelling reasons, Hotel Punkaharju has the right to transfer the booking to another accommodation of at least the same level after consulting the subscriber. Hotel Punkaharju reimburses the subscriber for the direct costs of the transfer. Hotel and Forest Cabins reservations are not subject to the package travel act. Hotel reservations are regulated by the accommodation and catering act. The hotel may deviate from these terms and conditions, in which case the different terms and conditions will be stated separately when booking.

CHECK-IN will be starting from 15.00 on the day of arrival.
CHECK-OUT will be starting from 8.00 until 12.00 on the day of departure.
Children staying in the same room with adults pay extra person price, 20 EUR/night, in all room categories.
Baby cot delivered to room on request, 20,00 EUR/stay.
We recommend travel insurance for our customers in case of possible exceptional situations. The hotel is not obliged to accept cancellations without cancellation fees, e.g. on the basis of a medical certificate or the like.
Hotel Punkaharju has the right to cancel the reservation for compelling reasons, force majeure (the hotel is unable to provide the services it has promised due to, for example, a strike, fire, water damage, natural disaster, state of war, etc., which makes it difficult for Hotel Punkaharju to operate).
COVID-19 RELATED CANCELLATION POLICY
Cancellation and rescheduling terms of bookings are always assessed based on the valid official restrictions and instructions by the relevant Authorities. Hotel Punkaharju may require relevant documentation and official proof e.g. travel documents / flight tickets/ medical document.
THE BOOKING CAN BE RESCHEDULED WITHOUT EXTRA CHARGES WHEN:
• the borders of the departure country/town/region of the customer are closed by the government at the time of your departure which would prevent the travelling
• the Finnish borders or relevant towns/regions are closed by the Finnish government which would prevent the travelling
• there are quarantine procedures in place in Finland or in the country of the departure of the customer at the time of departure / arrival date which would prevent the travelling
Please notice that all reservations will be considered as no-show reservations and will be charged as its full amount unless information and documents requested by Hotel Punkaharju at least 48h prior to arrival and approved by us.
WE WILL NOT REARRANGE/POSTPONE/REFUND:
• if a customer voluntarily decides not to travel out of fear of COVID-19
• if a customer is not capable to travel for being diagnosed with COVID-19 or any other medical condition. Compensations in these cases must be claimed from personal travel insurance
• if the transportation of the travel is cancelled or rescheduled
• cancellations made in breach of the terms and conditions of this Update
Hotel Punkaharju holds the right to keep the possible pre-payment for the rescheduled reservation.
